Human Resources Overview

The Human Resources (HR) module allows the user to create & edit employee records and their respective job records.

Employees may have multiple jobs. An employee may also receive additional payments — e.g. addenda and stipends — for non-job related efforts such as possessing a master’s degree or car allowance. Each item for which the employee is paid is treated as a job.

Employee groups & deduction groups

Employee groups are used to assist in assigning leave types to employees. Employee groups are defined in HR Configuration and linked to employees in Manage Employees.

Deduction groups are used to assign a set of deductions to an employee. Deduction groups are named in Payroll Configuration, linked to deductions in Manage Deductions, and linked to employees in Manage Employees.

Employee availability in other modules

Once employees are set up in HR they become available to other AptaFund modules, including Purchasing, Payables, and Payroll, if those modules are installed. Additional module-specific tasks may be needed to make proper use in those modules of the employees entered in HR. For example, creating an employee and job in HR will not make the job available to be paid in the Payroll module until other payroll setup is completed. If the user wishes to make an employee unavailable to other modules, the user may disable the employee. For example, an employee who has retired or terminated their employment may be disabled to prevent being included in things like payroll registers or drop-down lists for employee reimbursements.
