Account Code Assistant

When you need to enter an account code for use in a transaction, you can begin typing the account code description in the Account Code field to generate a list of matching account codes. If you can't find it that way, use the Account Code Assistant.

Missing accounts?

If you can’t seem to find the right accounts using the account code assistant, check the Chart of Accounts to make sure the account you want is defined for the accounting cycle you're working in.

If you can't find the account you need AND you have the correct permissions, you can add an account code in the account code assistant.

Use the account code assistant

You may start typing an account code, an element of the account code, or part of the account code description. You can then scroll through the drop-down list to select the account code.

If you can't find the account code by beginning to type in the field, follow the instructions below.

1. Account Code: Click the ellipsis button. The Account Code Assistant opens.

   • The pull-down lists will correspond to your chart of accounts and may have different options than those in the illustration.

   • The Account Type defaults to the type most often used for the type of transaction you're entering — expense, revenue, or balance sheet. Note: For account structures that use different elements based on account type groups, the Account Type pull-down list includes the <All> option to allow the user to select from all available elements for all account type groups. This feature is useful in setting up Account Code Security groups.

2. If necessary, select a different Account Type.

3. Use the drop-down lists to select parts of the account code. As you make selections, you can see how many accounts fit the criteria in the Total accounts found are: field. Example

4. When the number of found accounts is a smaller number, click on the down arrow for the Account field, and select the account you want.

5. Click OK. You're returned to the record you were editing with the account code and its label displayed.

Add an account in the account code assistant

1. Account Code: Click the ellipsis button. The Account Code Assistant opens.

2. If necessary, select a different Account Type.

3. Use the drop-down lists to select all parts of the new account code.

4. Click the Add Account button, and the account code will be saved.

5. Click OK. You're returned to the record you were editing with the account code and its label displayed.
