Account Code Allocation

If the monies on a transaction are to be spread between multiple accounts, you'll need to designate the allocation either by percentage or dollar amount.

The account code allocation window will look slightly different and be reached in different ways depending on the module in which you're working — e.g. Payroll, Human Resources, or Purchasing — but the function is the same.

Allocating monies among account codes

  1. Click the Allocation button to open the Account Code Allocation popup.

  2. Use the Account Code Assistant to select an account, if needed.

  3. Select the Amount Type from the pull-down list. The options are: percent of total, percent of unallocated, and dollar amount. See the note below for an example of how to use the percent of unallocated option.

  4. Enter a percentage or dollar amount in the Allocated field.

  5. Click the button. The account information is copied to the grid below, and the Remaining Amount field displays any monies still to be allocated.

  6. Repeat steps 2 - 5 to enter additional account codes.

  7. When the Remaining Amount is $0.00, and you're satisfied with the allocation, click OK to save the allocation. The Account Code field will display Multiple to indicate the amount is split between more than one account.

If you've already entered an account using the percentage allocation, you can enter subsequent account codes using an Amount Type of either percent of total or percent of unallocated. For example, if you're entering an easy split like 60/40, it's easy to use Percent of Total. But if you're entering a more complicated 4-way split where the first account is 28%, and there's an even split among the remaining 3 accounts, you might want to enter the second account as 33 percent of unallocated, the third account as 50 percent of unallocated, and the fourth account as 100 percent of unallocated.

Editing the account code allocation

The monies may have been allocated already, but you want to change the allocation.

  1. Click the Allocation button to open the Account Code Allocation popup.

  2. To delete an account code, check the box for the account code, and click the Delete button. The account code is removed, and the Remaining Amount field reflects the new amount to be allocated.

  3. To edit an account code, check the box for the account code, and click the Edit button. The Edit Account Allocation window opens. Note: The Type defaults to Amount.

  4. Add new account codes as needed to balance the allocation.

  5. When the Remaining Amount is $0.00, and you're satisfied with the allocation, click OK to save the allocation. The Account Code field will display Multiple to indicate the amount is split between more than one account.
