Entering Employee Time

This procedure describes how to enter the hours or days worked for an employee and record taken leave. For field descriptions, see Payroll Management Field Descriptions.

To enter an employees time:
  1. In the Payroll Management, select a payroll cycle from the list. The current payroll cycle will display by default. The Payroll Register grid displays existing registers for the selected cycle.
  2. In the Payroll Register grid, select the row to highlight the desired payroll register. For steps to create a new payroll register, see Creating a Payroll Register.
  3. You can view the register by job type, employee name, or employee number. You can select the job type and then select the employee names or numbers as needed, or use the name or number fields to determine the display. The default Type is Hourly/Timesheet.
  4. In the Payroll Jobs/Addenda grid, locate the employee job/addendum record you want to update. Tip: Use Ctrl+F to open the Find dialog box and locate the record.
  5. The Time group accepts entries in days if Salary or Daily types are selected in the Type list and accepts entries in hours if Hourly is selected. Time group caption will toggle from of Time (Days) to Time (Hours), accordingly. In the Time (Hours)/(Days) group, locate the Regular field for the job. This field displays the default number of hours or days associated with the job. If changes are necessary, enter the number of hours or days worked. The Total field will reflect the total number of hours/days entered after the record is saved.
    Note:
    Daily jobs require an entry. Salary types display a default amount for hours/days. Timesheets require an entry. You can use
    Set Mass Days/Hours command to enter time for multiple employees.
    The job type Salary/Timesheet displays amounts in the Dock Days and Dock Amount fields by default. To enter time for this job type, delete the amount in the Dock Days and Amount fields and entered the time worked in the Regular field.
  6. If the employee took any leave, select the row and choose the Leave Taken command from the Fund or right-click menu (or use Ctrl + L) to open the Leave Taken dialog box. Enter any leave taken by the employee during the payroll period for the applicable leave types. Choose OK to close the dialog box and return to the Payroll Management screen. See Entering Leave.
  7. If the job type is Hourly, allocate overtime hours entering the OT amount in the field or by choosing the ellipsis button in the OT field (see Entering Overtime Hours). Note that the hourly rate is displayed in the Hourly field in the Payment group.
  8. To dock a Salaried employee or an Hourly employee with a payment plan, enter the dock amount in the Dock field. See Docking an Employee.
  9. To change the account code allocation for this payroll register, type over the code in the Account Code field or choose the ellipsis button to open the Multiple Account Allocation dialog box (see Allocating an Item to Multiple Account Codes).
    Tip: Although allocation amounts are always saved as dollar amounts, you can enter the allocations by hours or days instead of amounts. For example, if you have an Hourly employee who worked 5 hours at one site and 30 hours at another site, you can enter the allocation by hours instead of figuring out the dollar amounts. To do this, change the value in the Allocate by list before choosing the ellipsis button in the Account Code field. When the line item is saved, Allocate by returns to displaying Amount as a reminder to show how the allocations are stored.
  10. Press the Enter key or click to move the cursor off the row and save.
  11. (Optional) Preview what the employees paycheck will look like. Preview Net Pay is a dialog box that shows users individual employee paychecks, including deductions/benefits and taxes. At any time during payroll processing, you can select a job/addendum in Payroll Jobs/Addenda grid and choose the Preview Net Pay command from the right-click menu to view the effects of the entries in the dialog box. The Payroll Management screen displays different columns in the Payroll Jobs/Addenda grid depending on the selection in the Type/Category list.
Once time is entered for each employee, the register is ready to be Submitted & Approved. Once the register is Approved, paychecks can be generated. Refer to the following:
