Entering Overtime Hours

In the Payroll Management screen you can enter an overtime amount in the OT field or you can use the Overtime Allocation dialog box to assist in calculating overtime pay. The Overtime Allocation dialog box provides fields to enter the overtime hours, a multiplier, and rate, which can be changed if it is different than the default. The system will then calculate the overtime pay.
To enter overtime:
  1. Open the Payroll Management screen and select a payroll cycle from the list. The Payroll Register grid will display any existing registers for the selected cycle.
  2. In the Payroll Register grid, select the row selector to highlight the desired payroll register and select one of the Hourly job types from the Types list.
  3. Overtime is entered in the OT field. If the overtime rate is 1.5 (the system default), enter the number of overtime hours the employee worked and press the Tab key or click to move to the next field.
  4. If the rate is not 1.5, choose the ellipsis button to open the Overtime Allocation dialog box.

  5. In the Overtime Allocation dialog box, the Hourly Rate defaults to the hourly rate for the job. You can change this amount as necessary, such as when an employee works two jobs with different pay rates and the overtime rate must be blended. Enter the number of overtime hours worked in the Hours column and a multiplier in the Multiplier field. For example, if an employee earns double- time for 5 overtime hours, enter 5 in the Hours field and 2.0 as the multiplier. If an employee earns different overtime rates, you can enter additional rows. For example, if the same employee earns double-time and a half for hours in excess of 5 hours, you might enter a second row showing an additional 2 hours with a multiplier of 2.5.
  6. When you are done entering the overtime hours, choose OK to save the overtime allocations and copy the total hours into the OT field in the Payroll Management screen. Or choose Cancel to cancel the entries and leave the OT field unchanged in the Payroll Management screen. When one of the command buttons is chosen, the Overtime Allocation dialog box closes.
  7. Press the Enter key or move the cursor off the row to save the entries.
