Delete an Account

Only inactive accounts — those not used in any transactions — can be deleted. An active account can be disabled — which will leave it in the system but will prevent any future activity against it.

If you want to delete an account from future account cycles

When the chart of accounts is rolled over, the account mapping links the accounts in the old cycle to the accounts in the new cycle. As a result, the new cycles accounts are in the Active & Enabled state and cannot be deleted.

If you want to delete accounts from the new cycle, disable them in the old cycle, and then run the rollover again. When the chart of accounts is rolled over again, the system changes the state of these accounts to Inactive & Enabled, and they can now be deleted. To delete several at once, create a filter in the new cycles chart of accounts for Inactive & Enabled account codes, and then delete them.

Important: If transactions have been created in the new cycle against an account in the general ledger, rolling over a subsequent chart of accounts will not make the account Inactive & Enabled.

Delete an account

  1. Select Chart of Accounts from the Chart of Accounts menu, and this window opens.

  2. Select the Accounting Cycle from which you want to delete an account. Note: The list includes all open accounting cycles in the system.

  3. Select the Account Type Group from which you want to delete an account, and any existing accounts are now displayed. Sample window  Note: You can easily find all the inactive accounts by sorting the Active column.

  4. Check the box(es) for the account(s) you want to delete, and click Delete. You're asked to confirm the action.

  5. Click Yes. You're notified of successes and failures.
